PANALPINA ROMANIA is looking to hire in Otopeni a Customs Operations Specialist.

Purpose of the position

To process ocean imports/exports shipments with high accuracy by using Panalpina’s forwarding applications, ensuring operational excellence, high productivity and customers’ satisfaction.

Key Tasks

• To ensure the specialized tasks are carried within the required timeframe and meet both technical and legal requirements

• Produce on a daily basis minimum of 4 SAD items/hour established for processing customs declaration

• Accurately complete customs declarations and related paperwork

• To sustain their Customs clearances declarations when Customs officers requested

• Complete daily activity report with total numbers of declaration submitted in customs, total number of articles , declarant’s reference , awb , customer’s name, type of import, value of goods , value of duty and VAT

Contact customers in order to obtain necessary details to help him process customs declaration and to make the process smoother and in order to establish correct HTS code

• Review the rejected declarations and explain respective circumstances to Manager

• To be responsible with weekly keeping and archiving of import and export files

• To organise the clearance process for the transferred documents and parcels

• To archive the transferred documents and to administrate this archive

• To ensure the link between Panalpina and the customs during the clearance process for the parcels

• To ensure the right time of transfer for all files between Panalpina and Customs, with no delays

• Issue MAWBs, HAWBs and labels related to the airfreight &oceanfreight export shipments, strictly observing the related rules and regulations

• Check the applicable rules and regulations required by the origin, transit and destinations countries in order to avoid problems, delays, fines, etc. for Panalpina or Panalpina’s customers

• Check the documents and information received from customers with regard to banned/restricted commodities, sanctioned or embargo countries, compliance issues and inform superiors/customers in case of irregularities

• Send advices to customers/Panalpina destination offices about pick-up details, customs clearance, flight details and delivery details for export/import air freight shipments

• Check the correctness of documents for air freight export and import shipments and advise all parties involved in case of irregularities

• Inform customers about the level of customs duties and VAT to be paid for the airfreight import shipments, based on the information received from customs broker

• Assist customers/PA offices or PA agents with regard to different issues (e.g. not closed T1 documents, disputed invoices, etc.)

• Fill in and submit different reports required by customers or PA offices related to the airfreight export and import shipments

• Update in a timely manner of Track & Trace Applications: Pantrace, Intrac, Combas, eFile or other Panalpina’s tools

• Ensure timely information in case of real or possible loss, damage or incidents using Incident Handling Tool to register such events

• Provide accurate job costing in order to avoid financial deviations from one month to the others

• Work with Sales on account implementation, ensuring a smooth transition from Sales to Operations

• Distribute documents and make copies for own evidences in accordance with shipper’s, consignee’s, Panalpina’s and/or destination countries requirements in a timely manner

• Resolve queries / problems in an appropriate manner liasing with relevant departments if necessary and providing feedback to superior

• Strictly respect the provisions of Panalpina’s Code of Conduct & Anti-Bribery Policy and other internal Panalpina’s policy

• Fulfill additional tasks as per request of Country Head of Customs and Panalpina’s Management

Educational background / Work experience

Minimum 2 years experience in Customs

Education: High school

Language skills

Fluent in Romanian and English language
