PANALPINA ROMANIA is looking to hire in the position of 'Human Resources Administrative Assistant' that will be located in Bucharest office.

Human Resources Administrative Assistant should consider the following aspects:

Purpose of the position

To drive and secure the high quality, effectiveness and efficiency of all Human Resources administration activites in the assigned Country.

Key Tasks

Employment

• Responsible for the administrational support of the whole employee life cycle:

o Advertises employee job openings first, internally, and then, externally, in keeping with company recruitment policies. Manages the logistics of the recruiting process.

o Schedules interviews for the Hiring Manager and Human Resources. Schedules additional interviews as needed.

o Entry administration including offers, employment contracts and permits

o Responsible for the On Boarding Program for new hires, organization and tracking of probation period discussion

o Makes sure that the workspace, computer and other equipment, mailbox, and appropriate installed software are ready for the new employee's start day - works closely with Admin Department/Responsible

o Termination and exit documentation (reference letters etc.)

o Prepare, manage and administer the respective personnel files

o Sorts and reviews resumes. Manages the flow of paper applications and manages the recruiting email box. Provides the first review of resumes. Maintains a filing system that retains qualified applications for one year.

o Assists the plant and front office with temporary staffing needs by contacting and working with the Temporary Staffing Agency.

• Ensure that all relevant HR policies, procedures and guidelines are implemented and followed and meet all legislative requirements

• Provide HR key figures to meet internal and external requirements (staff turnover, leave of absence, etc.);

• Ensure compliance with local law, employee rights and with the company’s code of conduct;

• Ensure the integrity of HR related information

• Support in recruitment processes including administration of the e-recruiting tool

• General HR tasks and HR project support

Training and Development

• Support and secure training and development plans

• Schedules participants into training sessions.

• Tracks participants and training records.

• Enters training records into a database and maintains it

• Assist with the arrangements for organizational training and all related administrative tasks inclusive data analyses and reporting

Quality, Health, Safety & Environment

• Perform assigned tasks to support Panalpina meets its objectives and targets regarding quality, health, safety and environment as documented in IMS and follow all requirements as set out in the QHSE policy.

• It is the responsibility of all staff to ensure that their day to day activities embrace sustainability/Health and safety therefore reducing the impact upon the environment, supporting the communities we work in and reducing incidents in the workplace.

Additional

• Assumes other duties as assigned by the Human Resources Director or the Managing Director.

Educational background / Work experience

• Minimum bachelor’s degree preferably with a diploma in Business/Economics, HR, Legal or related disciplines

• Min. 1 years of human resources experience

Language skills

• Local language and fluency in written and spoken English

Computer Literacy

• Proficient in MS Office

• Know-how of HR systems
