We are looking to hire a Corporate HR & Legal IT Systems Project Manager for our Centre of Excellence (CoE) in Portugal.

Purpose:

In this position you will (1) deliver projects primarily on a global level: on time, at the right quality and within budget; (2) Lead and manage resources / different teams (corporate, functional, regional, country, externals), with authority and responsibility from the project sponsors; (3) Run the project on a day-to-day basis, (4) Work in close collaboration with partners and suppliers; (5) Interface with stakeholders (esp. Business areas) to ensure that the assigned projects move forward at the necessary pace to meet global Panalpina timelines and requirements; (6) Provide expertise to the teams, countries and regions regarding strategic direction as well as the tactical needs of the projects and (7) Support HR & Legal IT project portfolio management.

Major Responsibilities:

• Accountable for the planning, execution, and closing of assigned projects applying the defined project management methodology. Ensuring that all tasks, milestones and deliverables are achieved or produced on time, on budget and according to specification and scope;

• Coordinate project activities between different teams – physical and virtual - that include both internal employees and external consultants;

• Maintain an awareness of (potential) interdependencies with other projects and their impact to ensure that work is neither overlooked nor duplicated;

• Monitor and measure the ongoing project activities; track the project performance/progress against the baseline project plan and realize the project benefits;

• Monitor the use of resources, initiating corrective actions where necessary;

• Manage project risks & issues, including the development of mitigation actions;

• Initiate and apply change control and processes;

• Reporting through agreed lines and structures (e.g. C-level) on project progress through reports & quality gate assessments;

• Identify and gain support required for the management, planning and control of the project;

• Ensure that project documentation is created and meticulously updated;

• Liaise with management of relevant business functions and other stakeholders on a regional and country level to secure assignment of local resources to the regional/country-level teams and to enable organizational change management & communication activities;

Required Experience:

• Strategic in approach: understands & addresses inter-dependencies and real issues

• 5 to 10 years proven experience managing and directing large and complex projects within diverse international environments and cultures

• Experience in managing defined deliverables against milestones: on time / within budget / meeting business needs

• Clear definition of requirements and timetables

• Ability to manage troubled teams/projects enabling recovery and turnaround

• Organized and efficient in ways of working

• Desirable: Certification in project management (PRINCE2, PMI)

Required Knowledge & Competencies:

• General management skills such as leadership, negotiation, communication, people management and (cross-functional) team building;

• Strong project management skills;

• Project management tools & techniques;

• Ability to develop and deliver presentations to all levels of management and stakeholders;

• Ability to perform ad hoc analysis and produce meaningful operational metrics to help drive performance and achievement of business objectives;

• Ability to tailor the project management approach to the specific requirements of a project;

• Organizational savvy;

• Build and manage interpersonal relationships with the sponsors, stakeholders and team members;

• Good analytical, design and problem solving skills;

• Aptitude: flexibility and ability to adapt to change & cultural realities;

• Pro-active, can-do attitude, open mindedness & trustworthy;

• Desirable: Knowledge of HR/ Legal;

Language skills:

• Fluency in English (verbal and written)

• Knowledge of other languages is a distinct advantage.

Computer Literacy:

• Strong knowledge of MS-Office tools (Excel, PowerPoint, Visio, Word);

• Project management-related software applications/tools (MS Project, Workfront…);

• Documentation repositories (Sharepoint);

Specifics for Job / Environment

• Your job location will be Portugal (Lisboa Saldanha) and you will be part of the Corporate IT team with peers working in Basel, Switzerland

• International Environment

• Permanent contract with 35h/week.
