We are looking to hire a PRO & Field Operations Specialist to assume responsibility of all Immigration, Labour related, Documents delivery and collection tasks.

Responsibilities

PRO Tasks:

• Execute all jobs related to Immigration, Labor Office, Municipality, etc (including new employee visa, visa renewals, visa cancellation)

• Support all trade licenses related tasks (application, renewal, cancellation)

• Do the needful for visa arrangements for official business trips of staffs

• Collecting mail from post office/post box

• Deposits, cash withdrawal, collection of cheques and other documents from the bank

• Maintaining updated records of passport, visa of staff on the central data management software (PanLink) and on the HR Shared drive

• Collection & distribution of employee passport, visas and coordinating with the staff/LM on e-mails on queries received

• Record-keeping of documents given and received from various Govt. departments in the shared drive

• Providing updated requirement lists for various Government applications (e.g. – for the visa new requirements, new updates on Labor Laws etc.)

Field Operations tasks:

• Ensure timely collection/dispatch of relevant documentation

• Collect and/or deliver documents from/to customers

• Collect additional documents from authorities and their certification or legalization where required & requested

• Ensure correct and complete physical labeling and markings of shipments

• Supervise the loading/ unloading of shipments at airport, port or customer premises

• Collect cheque or cash from cash customers and delivers invoices/ receipts

• Represent Panalpina and ensure compliance with all formalities, guidelines and Codes as regulated by local authorities or internal guidelines (e.g. customs inspections, loading etc)

• Notify direct supervisor and/or Head of Department in case of any discrepancies

• Prepare daily customs document submission forms

• Follow up with customs departments for custom acknowledgements

• Ensure all customs activities are carried out in line with customs rules & regulations

• Any other Tasks assigned by immediate supervisor or department head

Qualifications

• Graduate

• 2-3 years of relevant work experience in a similar environment as PRO/company representative

• Very good understanding of local law in Oman and its requirements to comply with it

• Good Knowledge of field operations tasks in Freight forwarding in Oman

• Valid Driving license
